TechVista Inc. is an 85-person software consultancy based in Austin, Texas. Before Bi369 AI, the company was running seven separate tools: Salesforce for CRM, Jira for projects, QuickBooks for finance, BambooHR for HR, Google Analytics for reporting, and two separate communication tools for internal and client updates.
Every project handoff involved manual data entry across systems. Finance couldn't see project milestones. HR didn't know which projects were understaffed. Client status updates required pulling from three different tools and compiling a weekly email.
"We were spending almost 15% of our operational time just managing tools," said COO Sarah Chen. "That's time we should have been spending on client work."
TechVista migrated to Bi369 AI over a single weekend. They started with CRM and Projects — replacing Salesforce and Jira — and gradually moved Finance and HR over the following month.
The key breakthrough was the unified data model: a client record in CRM automatically links to all active projects, outstanding invoices, and open support tickets. Sales can see which projects are at risk. Finance can see which deals are about to close. Project managers see the full client history before a kickoff call.
"Everything talks to everything else," said Lead Project Manager James Okafor. "That sounds obvious but it's the thing that actually changes how you work."
The Analytics module replaced a weekly manual reporting ritual with a live dashboard refreshed every hour.
TechVista is now exploring the Website Builder module to consolidate their client portal, currently hosted on a separate vendor.
