Overview
Leads are potential customers who haven't yet been qualified. In Bi369 AI, leads live in the CRM → Leads section and have their own pipeline separate from your customer deals.
Adding a lead manually
- Go to CRM → Leads
- Click Add lead
- Fill in the required fields:
- Name (required)
- Email or phone (at least one required)
- Source — where the lead came from (Web form, Referral, LinkedIn, etc.)
- Pipeline stage — where the lead sits in your sales process
- Click Save
Importing leads via CSV
- Go to CRM → Leads → Import
- Download the CSV template
- Fill in your lead data (required columns: name, email)
- Upload the file and map the columns
- Click Import
Tip: You can import up to 5,000 leads at a time. For larger imports, split your file into batches.
Lead pipeline stages
By default, the lead pipeline has these stages:
- New — freshly added, not yet contacted
- Contacted — first contact made
- Qualified — confirmed the lead has budget and need
- Proposal sent — quote or proposal delivered
- Negotiation — discussing terms
- Won — lead converted to customer
- Lost — lead did not convert
You can customise these stages in CRM → Settings → Pipeline stages.
Converting a lead to a customer
When a lead is ready to become a customer:
- Open the lead record
- Click Convert to customer
- Bi369 AI will create a new Customer record with all the lead's data pre-filled
- Optionally create a Quotation as part of the conversion
The lead record is marked Won and linked to the new customer.
Using AI Copilot with leads
You can use the AI Copilot to work with leads using natural language:
- "Show me all leads with no activity in the last 10 days"
- "Assign all unassigned leads to Sarah"
- "Create a follow-up task for every lead in the Contacted stage"
