Overview
You can invite as many team members as your plan allows. Each person gets their own login and is assigned a role that controls their permissions across modules.
Navigate to Settings → Team Members to manage your team.
Inviting a team member
- Go to Settings → Team Members
- Click Invite member
- Enter the person's email address
- Select their role (see roles below)
- Optionally restrict their access to specific divisions or departments
- Click Send invitation
The invited person will receive an email with a link to accept the invitation and set their password. Invitations expire after 7 days.
Tip: You can invite multiple people at once by entering comma-separated email addresses.
Roles
Bi369 AI uses role-based access control (RBAC). The built-in roles are:
| Role | Description | |---|---| | Owner | Full access to all settings, billing, and data. Only one owner per workspace. | | Admin | Full access except billing. Can manage users and settings. | | Manager | Can view and edit all records in assigned modules. Cannot manage users or billing. | | Member | Standard access. Can create and edit their own records, view shared data. | | Viewer | Read-only access. Cannot create or edit records. |
Note: Custom roles are available on the Pro and Enterprise plans. Go to Settings → Roles to create a custom role with granular permissions.
Module-level permissions
For each role, you can configure per-module access:
- Full access — create, read, update, delete
- Edit — create, read, update (no delete)
- View — read-only
- No access — module is hidden from this role
Managing pending invitations
From Settings → Team Members, switch to the Pending tab to see invitations that haven't been accepted yet. You can:
- Resend the invitation email
- Revoke the invitation (cancels the link)
- Copy link to manually share the invitation URL
Deactivating a member
To remove a team member's access:
- Go to Settings → Team Members
- Find the member and click the ⋮ menu
- Select Deactivate
Deactivated members cannot log in, but their data (assigned tasks, created records, comments) is preserved. You can reactivate them at any time.

If you've reached your user limit, upgrade your plan in Settings → Billing before sending new invitations.
